Robinson House Rental Agreement  

This form is to be completed in duplicate and returned to the Naamans Heritage Association
at least two weeks before the date desired. Upon agreement, one copy of the application will be
returned to the applicant.

Terms of Use

GENERAL
This agreement is between the Naamans Heritage Association/Claymont Historical Society, Inc. ("Society ") and __________________________________ (Renter) for the use of the Robinson House ("House") from ____________ to _____________ (dates)
Included in the rental is the use of the grounds and________________________(rooms)

CHARGES
The rental charge will be a total of $________, at a rate of $_____ per hour for ­­­_____    hours. A security deposit of $_________ is also required.
The rental date is not confirmed until both the rental charge and the security deposit have been paid in full no later than ____________.
Since this is a State owned "museum," a member of the Society must be on-site at all times during the rental, including setup and clean up times. This person is available to handle problems related to the facility, but not to assist the Renter with normal duties.
A costumed volunteer (s) can be available to assist the Renter with ample notice at the rate of $20.00 per hour, (each), 2 hr. minimum (each). This person will be available to greet and to give directions to guests, give tours, and/or lectures as a normal docent would.


PARKING

Parking is available in Robinson House parking lot with some overflow spaces available next door.


NONSMOKING

The House is a TOTALLY non-smoking facility ANYWHERE inside. Smoking OUTSIDE is permitted ONLY at the millstone in the back yard ... where a butt receptacle is available.


CONDUCT/DAMAGES

The Renter is totally responsible for the conduct and any damages done by Renter and/or their guests, including children's actions and caterer if hired by the Renter.  


CLEANING

The Renter is responsible for removing everything they bring into the House at the end of the rental.

Trash must be picked up and "bagged”.

If the kitchen is used, all utensils, surfaces, and floor must also be cleaned. Bagged (bags provided) trash is to be placed in the outside trash cans at the far, east end of the building, or___________________(other location).  


SECURITY DEPOSIT

The security deposit will be returned only after the building and its contents and grounds have been inspected by a Society representative.

If any additional cleaning or repair or replacement of House, outbuildings, and/or grounds is required, the appropriate amount will be withheld from the security deposit. If the security deposit will not cover the additional work or costs involved, then Renter remains responsible for the additional expenses.

The Renter will be advised within _________ days if an adjustment is to be made to the security deposit. Return of the deposit may be expected within __________ weeks after the date of the event.


CANCELLATION

If the Renter notifies the House Committee of the Society in person, by mail, by e-mail or by phone at least 30 days prior to the event, no charges will be made, and         the full security deposit will be returned.

From 30 to 15 days notice, 50% of the security deposit will be returned. Less than 30 days notice of cancellation, 0% of the security deposit will be returned. A message         left on an answering machine is not sufficient notice of cancellation.

The Renter must have a written acknowledgement of cancellation ( U.S. mail OR e-     mail from the Society President's e-mail account.  


INSURANCE

If the Renter is using a caterer of their choice contracted to provide food and/or alcoholic beverages, the caterer must provide a certificate of insurance along with the Renter's coverage.

If alcohol is served, the caterer must provide a certificate of insurance with "liquor liability" included.

The Renter may omit "host liquor liability" when "liquor liability" coverage is provided by the caterer.


HOLD HARMLESS AGREEMENT

I [we] the Renter, agrees to indemnify and hold harmless the Naamans Heritage Association (NHA) and the Claymont Historical Society, Inc. (Society) against all loss and damage, including damage to person or property arising from any act of, or negligence of, mine [ours] or of any person acting on my [our] behalf while engaged in the performance of the above rental contract with the Society, or while in or about the Robinson House buildings or premises, or arising from accident or any injury not caused by an act of the NHA, the Society, its agents or employees, to anyone attending the event for which I [we] have rented the Robinson House [and kitchen/grounds] or arising from liens or claims resulting from the performance of this contract.
